Presenting at a Teams Town Hall: An Audio Guide for Nervous Speakers

Here is the reassuring part first: a large audience is far more forgiving of a stumble over words than of sound they have to strain to hear. If your voice arrives clean and steady, people relax and listen, and small slips pass unnoticed. Good audio is also the one part of a big presentation you can fully settle in advance.

Settle the equipment days before, not minutes before

Decide what you will speak into and stop changing your mind. A wired USB headset or a USB microphone on the desk is the safest choice for a high-stakes session because it has no battery and no wireless link to misbehave. If you prefer a wireless headset, charge it fully the night before and keep a wired backup within reach, already plugged in, so that switching takes a few seconds in the device menu.

Place a desk microphone about a hand’s width from your mouth and slightly off to one side, so that bursts of air from words starting with P and B pass by it instead of hitting it. A headset boom belongs near the corner of your mouth, not directly in front of your lips.

Then make a test call in Teams and listen to the recording it plays back. That playback is the closest you will get to hearing yourself as the audience will. Listen for hum, room echo, and whether your voice sounds distant. If it does, move the microphone closer before you touch any setting.

Make the room work for you

Hard, empty rooms make voices ring. A room with a rug, curtains, a sofa or full bookshelves absorbs reflections well enough. Close the door and the windows. Turn off fans and any loud heating or air conditioning for the length of your slot.

Noise suppression in Teams does a good job with steady background sounds, and leaving it on its automatic or high setting is sensible for a spoken presentation. It is a safety net, though, not a substitute for a quiet room. Silence everything that can interrupt you. Put your phone on do-not-disturb, not merely on vibrate, because a buzzing phone on a desk is loud through a nearby microphone. Close chat apps and mail on the computer so that notification sounds do not play into your ears mid-sentence.

Use the rehearsal as a real sound check

Town halls normally include a rehearsal or a backstage period where presenters and organizers can talk before the audience is let in. Treat it as a technical check, not a social one. Ask a specific question: “Is my level similar to the other speakers, and can you hear any echo or background noise?” A vague “can you hear me?” only ever gets a yes.

Agree on a rescue plan with the organizer or producer. Who will tell you if your audio fails, and how? A private chat message is easy to miss while presenting, so ask them to interrupt by voice if needed. Decide who covers for a minute if you have to switch devices.

If you share slides with embedded video or sound, test that too. Teams has an option to include computer sound when sharing, and forgetting it is one of the most common town hall mishaps.

While you are live

Nervous speakers rush, and rushed speech is harder to follow over any audio system. Slow down by about as much as feels slightly unnatural. Pause at the end of each point. Silence feels long to you and perfectly normal to listeners, and it gives captions time to catch up for those relying on them.

Keep a steady distance from the microphone. Turning your head to read a second screen can make your voice fade in and out, so put your notes near the camera. Keep water nearby and sip it during a pause, head turned away.

Know where the mute button is without looking, and check its state each time you begin to speak. When your part is over, mute immediately and stay muted, since presenters in a town hall can often still be heard when they forget.

If something does go wrong, stop, say calmly that you are going to fix your audio, and switch to your backup device. Audiences accept a ten-second pause handled with composure. What unsettles them is a speaker who carries on, unaware that nobody can hear.

The quiet confidence of a checked microphone

Most presentation nerves are fear of the unknown. Every item above turns an unknown into something you have already tested: the device, the room, the rehearsal, the rescue plan. Walk into the session with those settled, and the only thing left to think about is what you came to say.
